HOW IT WORKS

From "I'm curious" to "I'm live" — six steps.

No mystery, no agency hand-waving. Here's exactly what happens when you work with us.

OwnerPilot turns a 5-minute guided intake into a custom-built system that runs your digital presence. This page walks you through every step — what we ask, what we deliver, what it costs, and when it's not the right fit.

    The journey, end-to-end

    1

Guided intake (5 minutes, your time)

Pick your vertical. The questions adapt to your industry — guesthouses get asked about OTAs, breweries about delivery apps, yoga studios about class formats, professionals about credibility positioning. Skip what doesn't apply. We capture the questions a generic form can't ask because we know what your business actually does.

    You provide:
business basics, what you offer, current systems, look and feel preferences, budget range, and any specific things we should know.
    Output:
a structured snapshot of your business that becomes the brief for everything that follows.
    Cost:
    Free. No payment to start.
    2

Quote within 24 hours (our time)

Billy and the team review your intake and reply within 24 hours with a quote. The quote includes: scope of build (pages, integrations, systems), timeline (typically 2–4 weeks for a standard build), price, and which monthly support tier we recommend post-launch.

If we're not the right fit for what you're after, we'll tell you. If your scope is too narrow or too broad for the price you've imagined, we'll tell you that too.

    You provide:
nothing yet. You read the quote and decide.
    Output:
a written quote you can compare, sleep on, or come back to in three months. We don't chase.
    3

    Confirm scope (your call)

If the quote works, you accept and we schedule a 30-minute scoping call. We talk through anything in the quote that's ambiguous, agree on milestones, and confirm payment terms (typically 50% to start, 50% on launch — milestones available for larger builds).

If the quote doesn't work — too expensive, wrong scope, bad timing — you tell us, and either we revise it or we wish you well. No hard feelings, no hard sells.

    You provide:
    acceptance, first payment.
    Output:
a signed scope and an active project.
    4

    Build (2–4 weeks, our time)

We build. You get a workspace link to follow progress in real time — see drafts, leave comments, see what's changing. Most builds take 2–4 weeks; complex multi-property or multi-vertical builds run longer and we tell you upfront.

Throughout the build, we may come back with questions — content review, image selection, decisions on details we couldn't make for you. Most operators spend 2–4 hours total during this phase, spread across the build.

    You provide:
content review, content approvals, occasional decisions.
    Output:
a near-complete site in a workspace, ready for final review.
    5

    Launch (1–2 days)

Final review, launch checks, domain setup if you're using your own, email setup if you've added that, and we go live. You get a 30-minute training session on the CMS so you know how to edit content yourself if you've picked Light Touch.

Then your build is live, and you move from "project" to "customer."

    You provide:
    final approval, second payment.
    Output:
a live site, your credentials, training, and the start of your monthly support relationship.
    6

    Ongoing support (forever, your call)

Post-launch, you're on whichever monthly tier you chose — Light Touch / Hybrid / Fully Managed / Bespoke. Each month you get hours for content edits, fixes, advice, and whatever the tier includes (SEO, social, campaigns, intelligence). Hours roll over for one month if you don't use them.

Switch tiers anytime as your business changes. Cancel anytime — your site stays yours.

    You provide:
    the monthly subscription, occasional input.
    Output:
a system that keeps running, growing, and improving.

    What this isn't

    It's not a template marketplace

You don't pick a theme and customise. We build for your industry from a vertical-fit foundation — hospitality, food & drink, wellness, creative expression, professional services. The intake captures what makes your business specific, and the build follows.

    It's not a freelancer relationship

No file handover, no "here's the WordPress login, good luck." Setup includes training, monthly support keeps the relationship active, and Billy and the team are reachable on WhatsApp when something needs sorting.

It's not a marketing agency retainer

No R30k+/month minimums, no quarterly strategy calls about strategy calls, no creative-director-of-the-month inflating your invoice. Defined hours, defined deliverables, predictable price.

When we're not the right fit

Honest signals to save you time.

    • You want a R2,000 website. That's Wix territory. Honest answer: try Wix first, come to us when you've outgrown it.
    • You want a custom-coded enterprise platform. We build with modern tools, but we're not a software house — if you need a fully custom CRM or ERP, you need different builders.
    • You want pure visual portfolio with zero structure. Our strength is operational sites that capture leads and bookings. If you're a fine artist who wants a gallery-style site only, you might prefer a designer who specialises in that.
    • You want an ad agency. We'll manage your ad campaigns within your monthly hours, but we don't run paid acquisition as a primary service. Operators who need R50k+/month in paid spend management need a paid-media specialist.
    • You're not located in or doing business with South Africa. We work remotely, but our depth is in SA market context, ZAR pricing, local platforms, local SEO. If you're targeting US/UK/EU markets primarily, you'll get better fit elsewhere.

If any of these describe you, save the credits — we'll wave you off cleanly.
